Drop PDFs and photos, or import the spreadsheet you already keep. Each document opens a record, pre-filled from its file name. You fill in the dates and numbers.
Each record gets an owner, a location and a reminder schedule. The dashboard counts what has already expired, then what falls due in the next 30 days.
The reminder goes to the person who can fix it, again as the date gets closer. If it expires anyway, the account owner hears about it. The record stays open until the new document is on file.

Drop a certificate, COI or registration. RenewalOps opens a record, files the document against it, and fills in what the file name gives away. It does not read inside the file. So the expiration date comes to you blank rather than guessed, and you type it once. If that record already exists, it says so before you save.
Reminders that don't stop at one email
Every reminder names the record and the date it expires. Nobody gets a bare "action required". If the owner lets it lapse anyway, it goes over their head to the account owner. Approve the replacement and the old version is archived, with the whole exchange left on the record.
The schedule reads back in plain English: "90, 60, 30, 14, 7 and 1 day before expiration, email the record's owner. If it expires anyway, escalate to the account owner."
Prove it when the auditor asks
Compliance snapshots, renewal history, and a log of every upload, reminder and approval. The app only ever adds to that log; nothing in it edits or deletes an entry. Export a report, or the filtered log, as CSV.
Chase vendors without giving them access
Send the vendor a single-use link and they post their new COI or license through it. No account, no seat, and no way into your organization. It arrives on the right record for you to approve.

How do we get our existing records in?+
Two ways. Import the spreadsheet you already keep, and the importer matches your column headers. Or upload the documents and confirm each record as it is created.
What counts as a tracked record?+
One thing with an expiration date: a forklift card, a liquor license, a policy, a truck registration. Its documents, versions and reminder history are unlimited.
Do vendors need accounts to send us documents?+
No. You send them a single-use upload link, and what they send back arrives on the right record for you to approve.
Does it read the documents themselves?+
Not yet. It reads the file name and pre-fills what that gives it. The expiration date and the record number come to you blank, because a wrong expiration date on a compliance record is worse than no date at all.
Can employees use it without training?+
An employee's side of it is one record and one button: photograph or upload the renewal. They can only change the records assigned to them.
Can we prove a renewal happened for an audit?+
Yes. Each record keeps its document versions, its reminder history, and a timestamped log of who did what.
